Summary:

To manage document flow internally and externally across several of PGG’s geographical locations. This person will be also responsible for maintaining office supply levels for PGG corporate. This position will also manage on-call courier duties for PGG corporate office and Ag Supply retail stores.


Essential Functions:
  1. Coordinates and organizes all incoming and outgoing mail.  Ensures the timely and accurate delivery of mail.
  2. Hand delivers mail to PGG corporate employees.
  3. Maintains weekly shipping schedule between all PGG facilities.
  4. Monitors shipping costs and ensures compliance with company’s approval procedures. Actively reviews mailings to ensure all opportunities for combining shipments are used.
  5. Transports mail, supplies, documents, and records to and from various off-site locations as required.
  6. Maintains inventory of company forms printed in house and by outside vendors.
  7. Order supplies for Office Management as requested and ensure to maintain adequate supply levels at PGG Corporate.
  8. Oversees the operation and maintenance of the FedEx and Postal systems for PGG Corporate.
  9. Oversees the organization of company recycling program.
  10. Maintain consistent inventory of company required letterhead, envelopes, check paper, etc.
  11. Maintain mailing list for employees and coordinates stuffing and mailing as needed.
  12. Forecast and budget office supply needs when necessary.
  13. Provide courier services for PGG corporate and PGG retail.
  14. Coordinates catalog orders by ensuring adequate supplies and shipping coordination.
  15. Maintains the cleanliness of mailroom and supply storage areas
  16. Prepares and retrieves boxes from off-site storage.
  17. Ensure the highest level of customer service and confidentiality at all times.


Qualifications:
  1. Relevant work experience, which would demonstrate applicant’s ability to perform position
  2. Excellent organizational skills
  3. Excellent written and verbal communication skills
  4. Excellent customer service skills
  5. Core understanding of email and related technologies
  6. Attention to detail
  7. Ability to maintain confidentiality
  8. Self-motivated
  9. Ability to use postal equipment in packaging, calculating, and posting US mail
  10. Willingness to learn
  11. Valid driver’s license
  12. Good driving record
